FTP sites and email just weren't working
It's not that the CEOs who presented at the annual conference wanted to miss deadlines or forget to turn in materials - they were just too busy and the collection process was a hassle. The Great Place to Work® staff sent emails, instructions and reminders to encourage their speakers to get the material in on time, but back-and-forth emails and manual tracking were too cumbersome and confusing. Each year staff scrambled for last-minute material and missing information through the beginning of the event.
Timing was too close for comfort
Because the staff had to manually burn a disk with the presentations and hand-carry it to the event, the A/V provider had to rush on-site to make sure the presentation formats would work for the sessions. And when they didn't, the A/V staff had almost no time to address the problem.
Online content collection was the answer
The Institute asked Omnipress to set up an online content collection system to manage presentation collection, speaker communication and document review. The CEOs found Omnipress' collection system easy to use, and the staff tracked files and sent reminders through the system. Since all of the material was hosted online, the Institute simply sent a link to A/V to retrieve the presentations - two weeks before the conference began, giving the A/V team plenty of time to review formats and ask speakers to make changes without last-minute stress.
Omnipress printed the on-site program
Because speakers could easily upload their bios, session descriptions and photos using Omnipress' online conent collection system, the Institute was able to download the material for their on-site program. Omnipress helped put the final touches on copy before printing 400 programs for the event.
